How to Count Words in an Essay

Why your count and your teacher's disagree — and how close to the limit is safe.

Why two tools give you two numbers

There's no single standard for what a “word” is, so implementations differ:

A 1–3% spread between tools is normal and expected. That's 30 words on a 2,000-word essay — enough to matter if you're sitting exactly on the limit.

How strict is the limit really?

Depends entirely on the institution, and the brief is the only authority. Common conventions:

Being significantly under is usually the bigger risk. A 2,000-word essay delivered at 1,400 words hasn't met the brief regardless of quality — the length signals expected depth. Markers read short essays as incomplete arguments, and they're usually right.

Cutting words without losing the argument

When you're 200 words over, cut in this order — you'll usually find the whole 200 before reaching step 4:

  1. Hedging. “It could be argued that it is somewhat possible that” → “Possibly”. Academic writing is full of this and it costs 5–10% for free.
  2. Redundant pairs. “Each and every”, “full and complete”, “first and foremost” → pick one.
  3. Throat-clearing openers. “In this essay I will argue that” → just argue it.
  4. Long quotations. Paraphrase and cite. Markers rarely reward block quotes.

Check the result with a readability checker — cutting filler usually improves the score, which is a good sign you cut the right things.

Do citations count toward an essay word limit?

In-text citations like (Smith, 2024) usually do count; the reference list at the end usually doesn't. Footnotes vary by institution — some count them, some don't, and it's the most common point of confusion. Your assignment brief is the only authority. If it's silent on footnotes and you're using many, ask rather than assume.

Why does Word give a different word count than online tools?

Because there's no universal definition of a word. Word counts state-of-the-art as one word while some tools count four; Word includes footnotes only if you enable that option, and most online counters never see them since you paste body text only. A 1–3% spread is normal — about 30 words on a 2,000-word essay. Do the final count in your institution's software.

How much over the word limit can I go?

Many UK universities allow ±10%, so a 2,000-word essay accepts 1,800–2,200. But an increasing number set hard limits with penalties, or instruct markers to stop reading at the limit. Check your brief — if no tolerance is stated, assume it's hard and stay 2–3% under, since late edits tend to add words rather than remove them.

Is it bad to be under the word limit?

Usually worse than being slightly over. A 2,000-word essay submitted at 1,400 words signals that the brief hasn't been fully addressed, regardless of how well-written it is — the word count communicates the expected depth of analysis. If you're well short, the answer is more evidence and deeper analysis, not padding, which markers spot immediately.
